Not Every Volunteer Comes Through the Same Door

Not every volunteer comes through the same door.

A chunk of this NGO's volunteers aren't walk-ins from the website. They're students completing a placement, through programs like social work or addictions and mental health. Different intake, different paperwork, and a different person who needs to be looped in: the school, not just the student.

The old way

A student's application would land in an inbox, get logged by hand, and someone had to remember to loop in the school supervisor and check whether that school was already in the system.

The build: a pipeline that's smart about schools

Here's what happens now, from one form submission:

1 Student submits a placement application with their program, dates, and school
2 Salesforce checks whether that school already exists as an account, linking to it or creating a new one so schools never get duplicated
3 The student's record is created and tagged separately from general volunteers
4 A thank-you email fires to the student, a notification to the school supervisor, and a review alert to the coordinator, all at once

One submission now quietly updates three relationships at once - student, school, and coordinator - instead of three manual steps someone has to remember to do.

Schools want to know their students are actually being received and tracked properly. Now that happens automatically, every time.
